
Terms & Conditions of Contract

When “we”, “us”, "Company" or “our” is written, the reference is to Multi-Act Historical Portrayals.

When “you”, “your” or "hiring party" is written, the reference is to the person or entity requesting the presence of one of our portrayals or consultancy service.

It is assumed that by requesting our services that you have read, understood and accept all of our terms and conditions.

If you require one of our portrayals to bring weapons of any kind (rifle, pistol, dagger), a surcharge of £200 will have to be paid as part of the event deposit prior to agreement with us in addition to providing proof of permission for weapons to be carried at the event. This will be in addition to the other charges for the event.

All drill events will include standard and weapons drill movements. With weapon drill, bayonets will be fixed to rifles, and drill movements will also cover movements with other weapons of the period, including the Bren gun. This will automatically have the Weapon Carriage Surcharge of £200 applied to it.

We reserve the right to withdraw from any firepower demonstrations should any problems arise with the weapons.

If overnight work or travel is required (10pm - 7:30am), then a overnight surcharge of £100 per night will be required to be paid to cover unsocial hours.

If the site of your event does not provide facilities for overnight accommodation or overnight accommodation is required before attending your event / booking at a location other than our Headquarters, a surcharge of £150 per night will be added to your invoice to cover the cost of overnight accommodation when it is required.

If you fail to fulfill the terms of payment of any invoice or if the financial or business condition or responsibility of the hiring party will become impaired or unsatisfactory to us, we may, without liability to you or prejudice to any other legal or equitable remedy, postpone or cancel bookings until all due payments are made and satisfactory assurance of payment is received.

A non-refundable deposit of thirty percent (30%) of the total booking cost must be paid to us within 10 days of the date that we send your booking confirmation. Payment for the remainder of the purchase price must be made within 30 days of our invoice date.

All charges are non-negotiable, and if any attempt is made to bring the advertised price down by negotiation (commonly known as "haggling"), a penalty charge of £300 will be added to your invoice with an additional £400 termination fee, with the possibility of being placed on a blacklist of events that we would not be willing to assist or attend.

In the event of an allegation made against us, we will offer full co-operation to the relavent authorities. If however, it is discovered that the allegation is false, then a £400 Termination Fee will be charged, in addition to any court-appointed compensation.​

If you are deliberately misleading in your booking (eg booking a school talk in place of a talk at a larger event), a penalty charge of £300 will be added to your invoice with an additional £400 Termination Fee, with the possibility of being placed on a blacklist of events that we would not be willing to assist or attend in future. As deliberate misleading constitutes fraudulent behaviour by means of false representation, the appropriate authorities will be notified of the incident.

We reserve the right to evict people from your booking should they be causing a disturbance or be causing a disruption.

​Media requests are to be sent to us directly to our email address, with clear details set out regarding your request. These must be submitted three months in advance from the date of when the media is required.

​Any downloading, copying or modification of information or media featured on this website is strictly prohibited. Anyone caught doing so will be barred from using the website and may face legal proceedings.

You are not to claim credit for work that we do that is not due to give. If this occurs at your event / booking, a £400 Termination Fee, with the possibility of being placed on a blacklist of events that we would not be willing to assist or attend in future. If this occurs through use of our website, you will be denied further access to the website and you will be barred from making any bookings or attending any of our events.

It is the responsibility of an event hiring party to provide, on request, a location or access to an area or exhibit to enable visitors to witness and/or experience our work.

Should you request our attendance at a "Railway at War" event, you are required to provide an appropriate place for us to change at the end of the public admittance period.​

​Should you request our attendance at an event were tentage is required, you accept that you will ensure that our area will be protected by drainage ditches of sufficient depth and it will be the responsibility of the hiring party to relocate our staff and display, together with any other equipment that has been brought to your event should the original area set aside for us not be safe to use for the remainder of the event.

We reserve the right to change our pre-arranged programme should any issues or concerns arise.

If weapons are requested as part of a booking, the event is to provide a secure area for the weapons to be kept, and will be responsible for their security. As such, the event will be responsible for the exact replacement of any articles either misplaced, lost or stolen at an event when the articles are in the possession of the hosting organisation of the event or being held in a “safe” location in the event.

If a training event requiring the presence of a Historical Portrayal available from Multi-Act Historical Portrayals will need to provide:

A full plan of what it expected of us.
-
A location for accommodation if the event is over multiple days.
-
Pay the daily hire charge for the days of full activity.
-
Pay the overnight working charge for nights of activity.
-
Pay the overnight accommodation charge to cover the cost of accommodation if their is no on-site accommodation.

If a training base owned by the Ministry of Defence is to be used for a training event, it is the responsibility of the hiring party to obtain permission for use of the facility, in addition to obtaining the necessary permission for the use and carriage of weapons, usage of vehicles and usage of any buildings on site.

Should you request a firepower demonstration, it is your responsibility to set out an appropriate safety or "no-go" area for the location of the demonstration.

Should you request a firepower demonstration, it is your responsibility to cover the cost of the ammunition used.

We reserve the right to request moments of silence or moments of reflection during our booking without prior notice.

Events hosted by branches of the Royal British Legion will be given a discounted rate. As a means of preventing fraud, you will be asked for proof of membership and branch name / number.

We reserve the right to refuse to give "back-to-back" talks on events without a reasonable period of time between each talk.

Educational establishments looking to hire our services will be required to:

Provide a basic plan of the services required.

Provide the target audience by age group.
-
Provide a space for the storage of equipment.
-
Provide a space to deliver our services.
-
Prepare the target audience to a suitable standard.
-

Professional establishments looking to hire our services for special events are required to:
-
Provide a basic plan of the service required.
-
Provide the target audience by age group.
-
Provide a space for the storage of equipment.
-
Provide a space to deliver our services.
-
Provide a plan of the event on a day by day basis.
-
Provide a safe and secure location to lock equipment and possessions if our services are required over a number of days at the same location.

Pay the daily hire charge for the days of full activity.
-
Pay the overnight working surcharge for nights of activity.
-
Pay the accommodation surcharge if the site has no on-site overnight accommodation.

Living History Events looking to hire our services are required to:
-
Provide a basic plan of the service required.
-
Provide a space to deliver our services.
-
Provide a location for overnight accommodation if our services are requested over the entire length of the event.
-
Pay the daily hire charge for the days of full activity.
-
Pay the overnight working charge for nights of activity.
-
Pay the accommodation surcharge if the site has no on-site overnight accommodation.
-

If a event develops a consistently positive professional relationship with us, it will only be at that point that repeated bookings will see discounted rates being made available to those events.

The event deposit must be paid for events outside the Standard Operating Area (SOA) before the event can be confirmed.

We reserve the right to immediately stop and cancel a booking should any racial slurs, racial profiling or other discriminatory remarks be said in the presence of our staff. In the event of this happening, a £400 Termination Fee being added to your invoice.

In the event that your establishment is to close over a period of time in which your booking was scheduled to take place, then a refund may be issued upon receipt of evidence of the closure of your establishment. Abuse of this will result in your refund being cancelled and a £400 Termination Fee being applied to that and any previous booking. You may also be subject to legal proceedings.

The Late Cancellation Fee will only be withdrawn in significant and mitigating circumstances (e.g. death of a relative (confirmation will be required in order to prevent the loss of income due to a fraudulent claim) or a lockdown (regardless of scale [eg city-wide, regional or national]) in result of a pandemic or terrorist attack).

We reserve the right to change the size of our Standard Operationg Area(s) without notice. It is your responsibility to ensure you are aware of the limit of the Standard Operating Area(s)

It is stressed that any verbal abuse or physical assault (including death threats and gestures indicating threats of bodily harm) aimed at staff of Multi-Act Historical Portrayals will be reported to the Police with charges being pressed against the person or persons responsible and the strongest penalties demanded. This will apply under every circumstance. It will also result in a £300 penalty charge with a further £400 Termination Fee being added to your invoice and the immediate cancelling of the booking.

By placing your booking, it is assumed that you have made all reasonable preparations for your location that the booking is to take place at.​

If your event / booking is to take place in a community space, it is assumed that upon placing the booking you are going to make the necessary arrangements for providing any first aiders or additional security personnel that may be required.​

We reserve the right to refuse entry at one of our hosted events or one of our talks to any person or persons who are blacklisted from attending any function where we are attending.

If there is any attempted purchase or exchange of ownership of any of the equipment, uniform or weapons belonging to Multi-Act Historical Portrayals at your event, a penalty charge of £300 with a further £400 Termination Fee will be added to your invoice, with a result of you being permanently barred from booking our services again.

If anyone at your event is caught in the process of attempting to steal or after the fact having stolen anything belonging to Multi-Act Historical Portrayals, the person responsible will face legal action, and we will seek the strongest penalties. It will also see a penalty charge of £300 with a further £400 Termination Fee being added to your invoice, and you will be permanently barred from booking our services again.

You are not to make a false review about our work or the services we provide. Should a false review be identified, then legal proceedings may be launched against that individual or entity.

If your event / booking is to take place at a venue / location that is not on the UK Mainland, you are required to cover the costs of flights and hotels at the all inclusive rate as part of the event deposit.

If your event / booking is to take place at a venue / location that is not on the UK Mainland, you accept by placing your booking that we cannont accept any liability for any cancellation of flights / ferry services / train services enabling us to get to your venue / location prior to the start of your event / booking.

If your event / booking is to take place at a venue / location that is not on the UK Mainland, by placing a booking with us, you acknowledge that no weapons will be available due to international travel restrictions on what can be taken in and out of individual countries.

​If your event / booking is to take place at a venue / location that is not on the UK Mainland, but territory governed by the UK, you accept that your event may have access to more equipment than other countries.

We reserve the right to decline an overseas booking should the timeframe of the booking not be in our best interests.

If your booking is to be a virtual booking, you accept that there will not be an extension of time for the booking unless requested in advance.

​By placing your booking, you accept that we may pause our event should the national anthem of the country in which the booking is being held commence playing.
-
It is requested that any use of our image or any of our work be discussed with us prior to use, so a limited use licence can be issued. Failure may result in legal proceedings.

When you finalise your booking and make a payment, you authorise us to charge your credit card or other payment method for the amount charged.
-
By booking with us, you acknowledge that you are responsible for the behaviour of all those who are to be at your event / booking.

By placing a booking with us, it is assumed that you agree that we are not to be subject to "No Disclosure Agreements" for events / bookings / projects where we hold a leading role.​

We reserve the right to decline an overseas booking should the flying time be longer that 10 hours to arrive at the country in which the booking has been placed.

If your event / booking is to take place in an environment where extra security personnel will be needed, you will be required to cover the costs of their hiring, travel and accommodation as part of the event deposit.

As part of your event / booking, you must clearly point out emergency exit routes, as this is a legal requirement.

If your booking is a virtual booking, the event is to be held on Zoom. Details will be forwarded to you for the meeting at least four working days prior to your booking.

We reserve the right to break character in order to assist in or administering medical assistance to those who require it.

If anyone at the venue is given an instruction by a member of staff of Multi-Act Historical Portrayals or hosting event during the talk or session regarding appropriate actions when dealing with any possessions owned by Multi-Act Historical Portrayals, they are to do so for their own safety. Failure to do so will result in the event being immediately forfeited and possible legal proceedings.

We reserve the right to request the removal of any posts made online or on social media by a third party regarding our work or any of a services that we know to have no base in fact.

All photographs are only taken for official business and marketing purposes and as a means of covering Multi-Act Historical Portrayals on any insurance claims or potential legal proceedings.​

We reserve the right to change or withdraw any of our future projects without giving any prior notice.

If any unforeseen circumstances prevent us from fulfilling our obligations (eg. staff ill-health), our liability will be limited to a refund of any money paid in relation to the event. No refunds of any money will be paid back to you in the event of you cancelling your event at the last minute. All requests of refunds should be made in writing within 48 hours of cancelling your event and sent to the contact email with the name of the booking and location used as the subject. All bookings are subject to availability and last minutes changes may occur.

​We reserve the right to refuse a booking at the enquiry stage should we suspect there to be any false information being given when placing the enquiry.​

Photographs will be taken on site by staff of Multi-Act Historical Portrayals to show complete set up of equipment. This is also for reasons of evidence of property on display in the event of an attempted theft of property taking place.

We reserve the right to temporarily or permanently withdraw a portrayal at any time should any issues arise.

​Due to the nature of the services we offer, you must be at least 18 years old before you can use this website. Multi-Act Historical Portrayals assumes no responsibility for age misrepresentation.​

​It is the responsibility of the hiring party to ensure that the portrayal you book is appropriate for the occasion and target audience.

We reserve the right to temporarily or permanently withdraw any of our equipment at any time should any issues arise.​​

It is the responsibility of the hiring party to ensure that all domesticated animals are kept away from any area in which a firepower demonstration is taking place.

The reduction in payment of fees is only applicable in the following circumstances:
-
A museum or establishment that does not charge an admission fee for general members of the public who are not part of a supporting body (ie a "Friends of" scheme)​

A museum or establishment that has a contract of good standing with Multi-Act Historical Portrayals
-
The venue or establishment that is hiring us has a Multi-Act Historical Portrayals-issued Service Discount Card
-
A member of staff belonging to Multi-Act Historical Portrayals decides at the start of our participation in your event to waiver selected or all fees.​

We reserve the right to refuse press interviews without reason.
-
​You accept that you cannot hire out one of our portrayals with the intention of wearing it yourself as "fancy dress".​​​​

We reserve the right to refuse to answer any question(s) that we deem inappropriate.​

We reserve the right to refuse to attend an event where we perceive that it would be a conflict of interest.​​​

We reserve the right to refuse additional services if they have not been agreed to as part of your booking.​​​

We reserve the right to end your booking early should the need arise. Circumstance dependent, a partial refund may be given.​​​

We reserve the right to request additional visits to the location of your event should we have any concerns regarding our allocated base location or distance required for us to travel around the site of your event.​​​

It is the responsibility of the hiring party to ensure that dogs are kept on a lead around our displays at events.

We reserve the right to request and collect payment on demand for any unpaid fees or balance.​​​

We reserve the right to permanently ban individuals from our events or from booking with us.

In the event that you should decide to cancel your booking within three days of when it is scheduled to take place, a Late Cancellation Fee will be applied, unless the cancellation has taken place due to exceptional circumstances (death in family or ill-health of designated primary customer. Abuse of this will result in your refund being cancelled and a Termination Fee of £400 being applied to your booking. You may also be subject to legal proceedings.​​​

We reserve the right to refuse and bar anyone who attempts to book a experience with a display uniform being used as a portrayal.​​​​

We reserve the right to abstain from attending an event where our presence is likely to cause conflict.​​​​​

We reserve the right to cancel any discounted fees on any account should we have reasonable cause to do so.

We reserve the right to cancel or withdraw any Multi-Act Historical Portrayals-issued Service Discount Cards should we have reasonable cause to do so.

It is the responsibility of the hiring party to urgently respond to any request for medical assistance made by one of our members of staff.
Supplemental Terms and Conditions or documents that may be posted on the website from time to time are hereby expressly incorporated herein by reference. We reserve the right, in our sole discretion, to make changes or modifications to these terms and conditions from time to time. We will alert you about any changes by updating the "last updated" date on these terms and conditions, and you waive any right to receive any specific notice of each such change. Please ensure that you check the applicable Terms every time you use the site, so that you understand which terms apply. You will be subject to, and deemed to have been aware of and accepted, the changes or modification to any revised Terms and Conditions by your continued use of the website after the date such revised Terms & Conditions are posted.

Our failure to exercise or enforce these Terms and Conditions shall not operate as a waiver of such right or provision. These Terms and Conditions operate to the fullest extent permissible by law. We may assign any or all of our rights to others at any time. We shall not be responsible or liable for any loss, damage, delay or failure to act caused by any cause beyond our reasonable control. If any provision or part of a provision of these Terms is deemed to be unlawful by a court of law or void or unenforceable, then that provision or part of that provision is deemed severable from these Terms & Conditions and does not effect the validity and enforceability of any of the remaining provisions or parts thereof. There is no joint venture, partnership, employment or agency relationship created between you and us as a result of these Terms and Conditions or use of the website. You agree that these Terms and Conditions cannot be construed against us by virtue of having drafted them. You hereby waive any and all defenses that you may have based on the electronic form of these Terms and Conditions and the lack of signing by the parties hereto to execute these Terms and Conditions.

Any user of the Multi-Act Historical Portrayals website may not make a claim against it for any reason, especially as no money is taken through the website and sales are hire agreements are subject to a separate written contract.
